Job Description:
The Executive Assistant will provide high-level administrative support to the Executive Vice President, including managing schedules, communications, and logistical needs. This role will also provide operational support across the Congressional Relations team to ensure the smooth and efficient functioning of department initiatives.
Key Responsibilities:
Support the Executive Vice President (EVP) by independently performing a wide range of complex and routine administrative tasks, including organizing local and domestic travel, scheduling appointments and meetings, preparing presentation materials, drafting communications, compiling reports, and processing expense reimbursements.
Aid the EVP in managing and prioritizing daily workload by identifying emerging issues, determining time-sensitive matters, gathering and synthesizing relevant information, and tracking the status and progress of key projects.
Exercise discretion and judgment in managing executive calendars and appointments to ensure effective and strategic use of the EVP’s time.
Communicate on behalf of the EVP with high-ranking bank officials, senior government leaders, and ABA leadership, demonstrating professionalism and clarity in all interactions.
Organize internal and external meetings; coordinate logistics, prepare draft agendas, distribute materials in advance, and document key takeaways and action items.
Process vendor invoices, purchase orders, and employee expense reports in a timely and accurate manner.
Develop creative and practical solutions to complex administrative and operational challenges, applying sound judgment and independent problem-solving skills.
Maintain confidentiality of sensitive information and exercise discretion in all interactions and data handling.
Execute special projects and perform additional multifaceted responsibilities as assigned by the EVP or department leadership.
Other duties as assigned by business needs.
Requirements:
Bachelor’s degree in Business Administration, English, Communications/Journalism, or related field strongly preferred or commensurate experience.
Minimum of five years of experience in an administrative or project management role, with demonstrated experience supporting executive-level staff.
Proficiency in Microsoft Office, including Excel, PowerPoint, and Word.
Strong organizational skills with the ability to successfully prioritize tasks, manage multiple projects simultaneously, and meet tight deadlines.
Excellent written and verbal communication skills, with a high level of attention to detail.
Experience working on Capitol Hill or within a government relations team.
Target compensation range for role: $90,000.00 - $100,000.00
Salary Band Range: $67,200.00 - $84,000.00 - $100,800.00
