The Project Administrator role at Cincinnati Children's offers a unique opportunity focused on delivering legal initiatives, projects and processes that will support our legal strategy and business goals. Reporting to the CLO, the ideal candidate will be responsible for directing, monitoring, and contributing to special projects, which are strategic in nature, highly complex, and involve creation and oversight of multifaceted teams within the Legal Division and across the enterprise. This role will provide highly tactical thinking and support in collaboration with leadership on key institutional initiatives; advises, supports, assists, coordinates, and collaborates on special/strategic projects lead by the CLO. This position will be the primary point of contact for all legal, compliance, audit, government relations, risk management and insurance projects. The role will act as an executive liaison to resolve problems and ensure successful implementation of initiatives. In addition to knowledge of risk management practices, this position requires strong communication and organizational skills, unquestionable integrity, and a strategic mindset with the ability to operationalize plans.
Essential Functions:
Strategize with project, program and department leadership to develop plans and advance objectives.
Lead projects and initiatives that support the legal division, which includes: researching common issues, data/information collection, analysis and presentation.
Actively engages in projects focused on core best practices practices and continuous improvement efforts, with a willingness to experiment with new ideas.
Prepare progress and summary reports. Oversee tracking and keeping projects on target. Assist with estimating project costs and preparing budgets.
Partner with the CLO and Executive Leadership to solve complex business problems by analyzing issues across a function or division, evaluating alternative solutions and taking action quickly and efficiently.
Participate in improving organizational performance through recommending areas or approaches for improvement activities, performing new procedures, collecting data and providing input to department/division discussions.
Research, prioritize, and follow-up on multiple complex issues and concerns addressed to the leader, including those of a sensitive and/or confidential nature. Determine appropriate course of action, referral, and/or response.
Anticipate needs and potential problems. Assist in logistical and administrative tasks such as written communication, presentation development, and presentation delivery.
Manage communication and relationships with key stakeholders and other critical internal/external and community relationships.
Assist with developing materials and communications for Board Meetings.
Seeks out and identifies opportunities for efficiency and innovation to assist department.
Develops cross-departmental information sharing and collaboration processes and solutions.
Completes other responsibilities and special projects as assigned.
Qualifications
EDUCATION/EXPERIENCE
Required:
Bachelor's Degree AND 7 years related experience including external client and vendor facing roles
Proficient in use of Microsoft applications.
Experience functioning as an internal consultant/project lead in large scale projects AND complex work environment such as legal, compliance or regulatory departments.
Preferred:
Experience within a large legal department or law firm
Master's Degree
Board support experience
Pediatric healthcare experience
Skills & Competencies:
Excellent written and verbal skills with strong writing and editing experience.
Strong presentation skills.
Demonstrated leadership skills including experience working with senior executives on challenging projects.
Ability to manage confidential information and documents with discretion.
Demonstrated independent work initiative, critical thinking, detail orientation, sound judgment, and a professional demeanor. Ability to think strategically while managing detailed, tactical execution of tasks with little to no supervision.
Demonstrated ability to influence others, effectively address audiences of all levels and foster collaborative working relationships.
Must be self-directed with ability to multi-task and prioritize.
