The The Executive Assistant position in University Relations provides administrative and scheduling assistance for the Office of University Relations executive team. This person provides administrative and operational support to others in the department as needed. This person develops and oversees administrative workfl workflow for assigned projects. This position requires a high degree of professionalism, attention to detail, the ability to operate independently, work with a diverse constituency, make unsupervised decisions and handle highly confidential issues.
Roles and Responsibilities:
Support the Vice President of University Relations.
Manage the calendars of Vice President for University Relations, Chief Government Relations Officer, Chief Marketing Officer, and Chief Public Relations Officer.
Assist Government Relations with scheduling meetings with elected officials, staff, and other stakeholders.
Manage complex calendar and group meeting details.
Develop and oversee administrative workflow.
Maintain confidentiality on sensitive issues.
Manage all aspects of meetings, events, legislative tours, and office functions including budget development and implementation, vendor selection, and management.
Provide administrative and scheduling support for the Good Neighbor Fund and the University District Alliance.
May provide administrative and scheduling support to University Relations staff as needed.
Participate in administrative planning and strategic plan implementation, and oversee the execution of operational work.
May conduct analysis and make recommendations to improve the efficiency and effectiveness of the business operations of the office to best align with overall department goals and budget. Duties will include office equipment selection and vendor management as well as space management while taking ownership of these issues.
Act as a representative of the office on assigned matters.
Manage student workers including the process for regalia.
Provide back-up assistance for mass-email processing as needed.
Manage the purchase of office supplies including UMarket and Parking Services.
Manage department email accounts.
Assist other directors as needed.
Work experience to equal four years in an office setting.
Experience in responsible administrative positions demonstrating excellent organizational abilities and a commitment to diversity.
Ability to form, develop, and maintain professional relationships with key staff and diverse constituencies.
Outstanding interpersonal skills and the ability to ensure high level attention to detail.
AA degree or related education.
Budget management knowledge and ability.
Ability to provide analysis of office expenses and complete reconciliations and compilations of the data.
Experience in training students and being a mentor to junior staff members.
Experience in higher education or other public organizations.
Outcome-oriented with the ability to measure results.
