We are seeking a Financial Specialist Associate to join our team in Fleming Business Services (FBS). FBS provides a broad range of budget, accounting and financial services for five executive offices: President, Vice President and General Counsel, Vice President and Secretary, Vice President for Government Relations, and Vice President for Communications. FBS also provides transaction processing services for the Division of Public Safety and Security.
Initiate and monitor transactions processed through the university’s Shared Services Center, including transactions related to accounts payable, accounts receivable, supplier maintenance, HR coordinator services, and travel and expense
Assist FBS analysts with preparation of journal entries
Reconcile PCards, including gathering receipts and other supporting documentation, building expense reports and assigning appropriate chartfields
Prepare monthly, quarterly, annual and ad hoc reports to assist in budgetary oversight and financial analysis of funds for Executive Offices
Initiate purchases of supplies, equipment and services using a variety of methods, including purchase requisitions, purchase orders, Payment Request forms and PeoplePay requests
Coordinate requests for quotations/proposals for purchases going through the bid process or sole source justification, as necessary
Assist with chartfield maintenance, including opening/closing new project grants, shortcodes and maintaining list of funding sources
Identify opportunities to revise and/or create new business processes to improve efficiency and effectiveness; assist with implementation of new processes and procedures
Assist other members of the FBS team, as needed
Bachelor’s degree and one year of related financial/budgeting experience or an equivalent amount of experience and education
Experience applying fundamental financial concepts, practices and procedures to business needs
Ability to prepare accurate financial reports within established timelines
Ability to provide excellent customer service to internal and external customers
Experience working with spreadsheets, query tools and software to model and analyze data
Strong interpersonal skills, including the ability to effectively communicate and work with a variety of individuals and units
Excellent analytical, problem-solving and decision-making skills
Excellent organizational skills, strong attention to detail and ability to handle multiple tasks with varied deadlines, as well as identify and resolve problems in a timely manner
Proven ability to think independently, work collaboratively as part of a team and contribute to a positive work environment
Experience working with complex financial and administrative information systems (Oracle PeopleSoft helpful)
Knowledge of financial data warehouses and competence creating queries
Knowledge of travel and expense reporting and reconciliation (Concur helpful)
Knowledge of university financial policies and procedures and the ability to assist faculty and staff with the procurement processes and internal controls
Demonstrated ability to perform data analysis and reporting
