The Assistant to the VP for Government Relations will perform a diverse set of administrative duties on behalf of the Office of Government Relations at Northeastern University. This position requires excellent communication skills including discretion in all interactions. The assistant will work on behalf of the office and the university with elected officials at all levels of government as well as with faculty, students and administrators on campus. In addition, the incumbent is a highly organized and detailed oriented person who is focused on assisting the Government Relations team in showing results.
Duties include working closely with the Vice President for Government Relations to maintain and coordinate communications among the Vice President, members of various government offices and various Northeastern departments. This includes preparing briefing materials; writing letters, memoranda, and other official communications; as well as proof-reading complex documents. In addition, the Assistant will be responsible for maintaining and updating the Government Relations Website and managing social media content. Also, the Assistant will maintain lobbying records, draft and file lobbying reports upon approval by the Vice President, and coordinate with the Finance office as needed for federal reporting requirements. Assist with coordinating with Washington, DC consultants.
The Assistant must be able to maintain a busy executive calendar, including scheduling appointments and meetings and booking regular travel. Beyond scheduling meetings and trips for the Vice President, the Assistant will assist with organizing meetings and trips for Government Relations' constituents, which include Deans, Faculty, Students and staff. This will include drafting background material, memoranda and follow-up. The Assistant will manage events, including large meetings speaking events, briefings, and awards presentations with multiple participants, including members of Congress and their staff.
The Assistant must anticipate the needs and help prepare the Vice President for all meetings and events in a timely fashion. The Administrative Assistant will also track expenses and perform general office management duties for the Office of the Vice President for Government Relations, including assistance with task management and organization of documents and files.
Two or more years of college course work required, bachelor's degree preferred. Strong writing and editing skills required. Must have a minimum of three years prior experience in an administrative position, with demonstrated experience in a fast-paced, high pressure office. Familiarity with government and universities preferred. Must have the ability to see the 'big picture,' be a self-starter and proactive as well as the capability to work independently. Strong computer skills needed (e.g. Microsoft Word, Excel, PowerPoint and the Website updates and social media). Must have demonstrated reliability, proficiency in interpersonal, organizational and communication skills, including the ability to analyze problems and identify solutions.
